District Payroll/Accounts Payable Bookkeeper

  • Operates office equipment such as fax machines, copiers, etc.
  • Answers telephones and gives information to callers, takes messages, or transfers calls to appropriate individuals.
  •  Responsible for keeping district accounting records.
  • Assists with administering grants with budget preparation and timely spending of all grant monies. 
  • Assists auditors during the annual district audit.
  • Responsible for keeping all district payroll records, calculates time cards and sheets, prepares payroll, prints checks, sorts, stamps, and distributes to employees.
  • Responsible for timely accurate payment of payroll taxes.
  •  Responsible for timely and accurate payments of TRS and IMRF for employees.
  •  Prepares the Annual TRS Report of Earnings
  • Prepares 941 quarterly reports.
  • Prepares IDES monthly and quarterly reports.
  • Prepares W-2’s at the end of the year.
  • Responsible for the preparation and payment of current monthly bills for the District.
  • Greets visitors, students/staff and callers, handles their inquiries, and directs them to the appropriate persons according to their needs.
  •  Sets up and maintains paper and electronic filing systems for records, scheduling, correspondence, and other material.
  • Works with retiring employees to prepare and file all required forms.
  • Performs basic payroll and accounting type tasks as required, including gathering and depositing funds.
  • Responsible for maintaining locked confidential personnel files on all certificated and non-certificated employees.

Details: Beginning pay rate anticipated to be between $18-$21 per hour, depending on qualifications and experience of the applicant. Hours for the position are 7:30am-4:00pm M-F (37.5 hours per week). 

Qualifications: High school diploma or equivalent required; Associates or Bachelors Degree in finance, accounting, or data processing preferred; 2-5 years in a similar position preferred; experience with school financial software a plus; requires excellent problem solving and communication skills; requires the ability and willingness to work in a team environment.
